Campaigns and sending issues

I cannot create or edit a campaign

Campaigns require workspace scope.

  1. Select a workspace from the desktop workspace rail. On mobile, open navigation, select the current scope at the top, and choose a workspace from the scope drawer.
  2. Confirm the workspace is not locked.
  3. Confirm your role allows campaign work.

Campaign recipients are not updating

Campaign recipients are snapshotted from assigned Lead Lists.

  1. Open the campaign audience page.
  2. Confirm the right Lead Lists are assigned.
  3. Create or refresh the recipient snapshot.

Test email does not send

  1. Confirm a connected sender email account exists in Email & Domain Setup.
  2. Open Email Accounts and run a connection test where available.
  3. Confirm the selected account is not paused, paused by domain, archived, or reconnect-required.
  4. Confirm the email account is owned by, assigned to, or available through a domain assignment for the campaign workspace.
  5. Confirm the email account is selected in the campaign sender pool.
  6. Check the email account's warm-up status in Email Accounts. Accounts waiting for a decision, queued for warm-up, actively warming, paused, blocked, or failed do not send campaign emails yet.
  7. Try the test again.

A sender account is waiting for warm-up

Open Email Accounts, open the email account's warm-up details, and review the status.

  • If the email account was imported from a Zapmail account you connected, review the pending warm-up decision batch.
  • If the account is already warmed, mark it as already warmed.
  • If you want to use the account without warm-up, choose to ignore warm-up only after reading the warning dialog and accepting that this is a user-risk action.
  • If the account is in a post-warm-up phase, campaigns use the reduced sending limit shown for that phase.
  • Use the warm-up activity section in the sheet to confirm whether a user action or the LeadsParrot system changed the warm-up state, settings, or decision.

A campaign lost sender email accounts

Ownership and assignment changes can remove sender accounts from campaigns.

  • Moving a workspace-owned resource away from a workspace removes it from campaigns in that workspace.
  • Assigning an account-owned domain to one workspace makes the domain exclusive to that workspace.
  • Moving a domain also moves its email accounts.

Open Email & Domain Setup to review ownership and assignments, then open the campaign sender pool to select available email accounts.

If a domain was paused, campaign sender selections stay in place but the linked email accounts cannot send. Open Domains & Deliverability and resume the domain when you want those sender selections to become eligible again.

If the sender previously sent successfully, it remains under Inactive senders with its durable identity and assigned non-terminal leads. Choose Reassign leads, review the impact, and select an eligible specific sender or automatic redistribution. Previous emails retain their original sender.

A lead is held or a domain is sending less than expected

Review the lead's sticky sender and the domain's High bounce issue marker. A campaign may be applying a fixed 50% domain allocation or holding that domain only for this campaign. Account limits, warm-up limits, shared usage, reservations, and pauses can lower volume further. A campaign-local pause does not globally pause the domain.

Sender reassignment failed

Open Activity Log for the terminal process result. Confirm the target is still active, connected, eligible, accessible to the campaign workspace, and present in the campaign pool. The temporary reassignment hold is released after failure; preview the current impact again before retrying.

Domain readiness looks wrong

  1. Open Domains & Deliverability.
  2. Run a domain check.
  3. Review DNS records in Email & Domain Setup.
  4. Wait for DNS propagation when records were just changed.
